Cancellation Information

Please refer to the tables below for cancellation policies from each facility. Please note a reservation fee per facility per day is non-refundable.

NOTES
  •  Cancellations must be sent via the online Reservation Change Request Form. There may be additional fees for coordination of services that you requested through your coordinator. Please contact your coordinator for those fees.
  • A $33 reservation fee will be charged to the agency account provided at the time the reservation is created instead of charging the fee after the event occurs.

  • Facility Manager/Res Time: The time needed by the manager  for setup and cleanup between reservations.

Reserving Space for Symbolic Structures

A symbolic structure may be placed at the designated location by any registered student organization (RS0), campus interest group, or full-time student, staff, or faculty member with an account that allows them to make reservations in the Campus Event Management System (CEMS).

 

All reservations to place a symbolic structure must be made through Conference and Event Services (CES)

  • Students reserving the space on behalf of an RSO are encouraged to meet with the Center for Student Involvement (CSI) staff to finalize proposed structure details, before submitting a registration request to CES. 
  • Faculty and staff, with permission from their department head, must work directly with CES to finalize their reservations. 

Only requests that meet the following requirements will be approved.

Designated Location:

 

Structures must be placed on the decomposed granite at the northeast corner of the Quad, as indicated in this photo.

Size:

 

Structure sizes are limited to a maximum size of 6 feet tall and 6 feet wide.

Duration:

 

Structures may remain for one business day only. The requestor must remove the structure by 6 p.m. Failure to remove the structure may result in a removal fee charged to the requestor or their sponsor for the cost of removal. 

Frequency: 

 

Each requestor is limited to one reservation approval to place a structure within each quarter.

 

Scheduling Policies, Priorities and Parameters

Details on when space can be reserved on campus. Please note that ANY reservation request outside these priorities/parameters will require you to submit your reservation via fax or email and will incur a coordination fee for processing if approved by the facility manager.

Departments and other Registered Campus Organizations

Departments & Registered Campus Organizations conducting official university business are allowed to reserve up to:

24 months prior to the date of the event, minimum two weeks in advance, in the following facilities:

  • UC Davis Conference Center (Full Facility only)
    • Note: cancellation of portions of this reservation will result in cancellation fees for all portions cancelled.
  • Alumni Center (Full Facility only)
    • Note: cancellation of portions of this reservation will result in cancellation fees for all portions cancelled.

13 months prior to the date of the event, minimum two weeks in advance, in the following facilities:

  • Alumni Center
  • ARC Ballroom and Meeting Rooms
  • University Credit Union Center
  • Memorial Union
  • Outdoor Space/Fields
  • Putah Creek Lodge (reservations must end by 8pm)
  • Student Community Center - Multi-Purpose Room and Meeting Rooms
  • UC Davis Conference Center - Full Ballroom
  • Welcome Center - Full Facility and Presentation Room

6 months prior to the date of the event, minimum two weeks in advance, in the following facilities:

  • • UC Davis Conference Center - Partial Ballroom and Conference Rooms

3 months prior to the date of the event, minimum two weeks in advance, in the following facilities:

  • Welcome Center - meeting rooms and Digital Lounge, minimum two weeks in advance.

Manetti Shrem Museum

  • Reservations may be made for the current fiscal year, minimum two weeks in advance.
  • For reservations beyond the current fiscal year, please first inquire with the museum’s Events Manager: mjkoch@ucdavis.edu

Operations & Events Management Reservation Policies

Reservations must be submitted a minimum of 14 business days prior to event in the following event facilities:

  • Putah Creek Lodge (reservations must end by 8pm)
  • Welcome Center full facility
  • Presentation Room

General Assignment Classroom Space Reservation Policies

Reservations that take place during the academic year:

  • 12 months in advance if the reservation is on the weekend between 7am – 10pm.
  • 6 months in advance if the reservation is during the work week 6pm – 10pm.

Reservations that take place during the summer can be reserved on or after April 1 of that year:

  • Rooms released for summer events (these will be posted as “news” on our website).
    • Reservations can be made in these spaces between 7am – 10pm.
  • Rooms that are used for summer school
    • Reservations can be made in these spaces between 6pm – 10pm.

Bumped Reservations:

  • Clients will not be charged for classroom reservations that are bumped for academic use. Clients will be notified if their reservation has been bumped/cancelled and will need to search for alternate space.

Registered Student Organizations

  1. Organizations that re-register during spring quarter may reserve space for 3 non-recurring events through fall quarter . 
  2. Beginning fall quarter, registered groups may reserve space for 3 non-recurring events per quarter through spring quarter. Events scheduled for the summer may not be scheduled until the group re-registers for the next academic year.)
  3. Weekly meetings (maximum of 4 hours per week) for the following quarter may be reserved the last day of classes of the current quarter. Fall quarter reservations are accepted the first day of fall quarter.
