Catering, Concessions, Food Trucks, Potlucks and Self-Catering on the UC Davis Campus

Catering

Catering is defined as food and/or beverage service provided at a function by a commercial operation. At catered functions, food and/or beverages are provided by the host at no cost or for a registration fee. No money, token or ticket is exchanged between a participant and the caterer.

On the UC Davis campus, catering limited to those caterers/providers who have been vetted through the UC Davis Approved Caterer process. Caterers interested in being added to the list must follow the requirements listed on the website http://ces.ucdavis.edu/Public/plan/approved-caterers/. The updated list of approved caterers can be found at http://ces.ucdavis.edu/dept_cont/caterers/.

Concessions

Concessions is defined as the sale of food and/or beverages at a function where said products are sold directly to the guests by a commercial provider.

On the UC Davis campus, Sodexo has the first right of refusal for ALL concessions. Please direct your request for concessions to events@ucdavis.edu. Requests will be reviewed by Sodexo and you will be notified if they are able to fulfill your request or if you will need to contact a provider from the registered caterer list for the service.

Food Trucks

A food truck is a vehicle equipped to prepare, cook and serve food for the purposes of catering or concessions (see definitions above).

On the UC Davis campus, food truck operators must go through the same process as caterers and therefore must be registered to serve food on campus. In addition to the requirements for caterers, they must also provide a copy of their approved county permit for the truck and pass the UC Davis fire suppression inspection.  Food trucks are noted with a truck icon on the registered caterer list found at http://ces.ucdavis.edu/dept_cont/caterers/.

For Catering or Concessions

  • If used for catering,
    • Contact approved trucks from the list at http://ces.ucdavis.edu/dept_cont/caterers/.
    •    Make arrangements with TAPS to determine the location of the truck and to purchase the appropriate core and parking permits.
    • If the truck(s) you are using will be parked on a UC Davis street, please reserve the street(s) on the Conference and Event Services website at http://ces.ucdavis.edu
    • Send an email to Joyce Tuttle with EH&S at jtuttle@ucdavis.edu so that she is aware that there will be a food truck on campus.
  • If used for concessions, planners must do the following:
    • Submit request in writing to events.ucdavis.edu
    • Sodexo first right of refusal for all concessions on the UC Davis campus
    • If Sodexo says they will provide the service, then planner must use Sodexo contracted trucks and a Sodexo representative will contact the planner for more details.
    • If Sodexo says they will not provide the service, then
      • Contact approved trucks from the list at http://ces.ucdavis.edu/dept_cont/caterers/.
      • Make arrangements with TAPS to determine the location of the truck and to purchase the appropriate core and parking permits.
      • If the truck(s) you are using will be parked on a UC Davis street, please reserve the street(s) on the Conference and Event Services website at http://ces.ucdavis.edu

Potlucks

A potluck is defined as an event to which participants bring food to be shared with other participants. On the UC Davis campus, these types of events are limited as follows:

  • Attendance Restrictions
    • Events with an attendance of 75 and under for Registered Student Organizations.
    • Restricted to the stated capacities for the approved indoor locations listed below with the appropriate signage (see below).
    • Potlucks in outdoor locations must not be accessible to the public and the appropriate signage posted (see below).
  • Food may not be sold to the public or given away free to the public.
  • In the following locations:
    • Putah Creek Lodge
    • Memorial Union
    • Departmentally controlled space
    • Outdoor Event Spaces (ex. Quad)
  • A large sign (easily visible) must be posted in the area where the potluck is taking place indicating that it is a “Closed Event” or “Private Event” and not open to the public.
  • Providers must refer to the Food Safety Course which can be found at http://lms.ucdavis.edu (course titled "Food Safety Online Training")

 

Self- Catered Events
A self-catered event is defined as food and/or beverage prepared or provided directly by the host. On the UC Davis campus, these types of events are limited as follows:

  • Attendance Restrictions
    • Events with an attendance of 75 and under for Registered Student Organizations.
